When is the best time for the hackathon? | When is the best time to schedule the hackathon? keeping in mind exams, holidays etc.Does the hackathon make sense on a weekend? it is easier to invite industry experts who need not take a day off?How long will the day be? We recommend 10am – 6pm with lunch & tea breaks |
Size of the Venue | The venue will have to be big enough to host the main session + break out spaces for the teams work together |
Technology | The venue will need to have Wifi/ Projector/ screen + Audio System for the main session and pitching etc |
Challenges | – What challenges are important to you and your local community? – What do you think needs fixed in Cape Town/ South Africa? |
Focus | These are different in different parts of the world.Are these one of the these which are just examples: fast fashion/ food/ schools/ takeaways/ grocery shopping/ personal care products . |
Solutions | Have you seen any innovative solutions for tackling these solutions already? |
Team | Who is going to make it happen? Do we have a teacher who is championing the hackathon? |
Roles | These are the typical roles and you do not need all of them. Roles can be merged into one. Teacher Sponsor who is backing the hackathon Head Organiser – Manages the overall hackathon event and keep track of time tables etc and on the day usually the master of ceremonies Head Of Operations – Gets sponsorships, “What next” partners, prints labels, send out invitations, email updates, Space Requirements, Runs the registration etc. Head Of Applications – Send out applications and get the max number of students to attend as possible Head Of Content Curation & Innovation – Works on the design thinking workshop curation for the day Head Of Creativity – Does the content capture with illustrations/ etc Head Of Public Relations/ Social Media – Managed the social media accounts, talks to media people, sends out reports etc |
Attendees | The teams will be curated based on their skills to ensure we have balanced teams. We need to invite the grandparents for their solutions from the past and merge them with the tools of the future generation. Note: WE DO NOT INVITE millenials + GenX since they can not think out of the box anymore and are very good in finding faults. |
VIP / Influencer Guest for Keynote Speech | We need a superstar VIP guest/ celebrity to attend the junior hackathon (e.g Prince Harry/ Sir David Attenborough/ Emma Watson/ Adele in the UK) . Someone who cares about the environment. – This can be a popular political/ actor/ Influencer etc who can also share about the event with their followers to have maximum impact – Do you have anyone in mind? How do I get them? – Maybe your local Minister of Parliament is keen to get involved with kids in the area? – Do you have popular alumni from your school? Usually, your school alumni will be in a good position to help the students in their current years e.g. https://www.putneyhigh.gdst.net/alumnae/ |
Students | – Have you identified the local schools you will be inviting to join you? This is super important and we need to invite them and get the numbers confirmed sooner. – Have you thought who will you invite? – How will reach other schools? Does your teachers/ principal know teachers in other schools and can help you out? – What is your minimum age group? We encourage 14-18 but you can also invite 8yrs + – We will need adult supervision for all minors invited – We will need to have adult permission/ consent to their young kids attending the hackathon + video & pictures |

Grandparents or people over 60yrs old | – Have you thought about where would you find them? – Usually in an All Women’s Community/ Local Groups for the elderly etc. |

Industry Experts & Judges | – Once you know the challenges, we can figure out the industry experts to invite for the day. – We will need judges for the pitching session |
Prizes | We need to make sure there is life of the solutions beyond the day to inspire the children. |
Pilot Opportunity | Firstly, this is “What next?” an opportunity to present the idea to big brands for pilot/ trial evaluations.E.g. a Big Supermarket can commit to evaluating the solutions from the hackathon for trials but not make it happen. this is just a commitment to meet the team and evaluate if a pilot will work. This is important since the kids will be inspired to go beyond their limits when they see their solution in a store. |
Awards | What are the prizes you are offering on the day? This can be something made out of waste wood/ plastic or cash prize.What do you think will be an important motivator for the students/ teachers to attend? |
Certificates | Do you want to give our certificates to everyone attending the hackathon? |
Gifts | You need to think about gifts to your organising team, teachers and judges |
Sponsors | What is the cost of putting the event together? And how do we get money to pay for things. Usually the school absorbs a lot of the costs. |
